Lead response time: how it affects sales
A customer saw your ad and messaged you and two or three competitors. Whoever replies first leads the conversation. Many businesses spend money on ads and then leave leads unanswered for hours, losing the customer. Here is why response speed is decisive and how to build a system around it.
Why speed matters
- Interest fades fast. Someone "ready to buy" an hour ago has moved on to other things.
- The first reply is an advantage. The seller who answers first names the price and terms first.
- Ad money. An unanswered lead is money paid but never used.
A response standard
| Channel | Standard | Tool |
|---|---|---|
| Direct and Telegram | A few minutes during working hours | Notifications, a responsible manager |
| Lead form | A call within 5–15 minutes | An automatic task in the CRM |
| Phone | Call back missed calls immediately | Call log |
| Outside working hours | Auto-reply + first thing in the morning | Auto-reply text |
How to build the system
- Assign ownership. Write down exactly who answers each channel.
- Set up notifications so new leads reach the manager's phone instantly.
- A shift schedule so someone answers at lunchtime and on weekends too.
- An auto-reply outside working hours: "Thank you! We'll reply at 9:00 tomorrow."
- Templates — ready answers to frequent questions; see handling comments and DMs.
- A CRM so every lead becomes a task and never gets lost; see CRM for small business.
How to keep control
- Calculate average response time every week.
- Test leads — occasionally submit a lead yourself or through a friend and see how fast the reply comes.
- Review lost leads — find out why they went unanswered.
- Add response speed to managers' KPIs.
What comes after a fast reply
A fast reply is only the start. The conversation then has to lead to a sale: ask a question, identify the need, make a specific offer. For the structure, see our sales script article.
Conclusion
Response speed is the cheapest way to grow sales without raising the ad budget. Set a standard, assign an owner, set up notifications and a CRM, and measure every week. For where it fits in the funnel, see what a sales funnel is.
