Automated responses in Meta Business Suite: a setup guide
Someone sees your ad on Instagram, sends a DM asking "how much?" — and gets an answer three hours later. Automated responses in Meta Business Suite close that gap: the customer hears back right away, and a manager picks up a conversation that is already warmed up. This guide covers which automated responses exist, how to set them up, what to write and where businesses usually go wrong.

What automated responses in Meta Business Suite are
Meta Business Suite is a free dashboard for managing a Facebook Page and an Instagram account in one place. Its Inbox pulls Facebook, Messenger and Instagram messages into one list. That is also where automated responses live — they fire on messages sent to the connected Page and account.
Meta's Business Help Center lists several types of automated responses (Meta Business Help Center):
| Type | When it fires | What it does for the business |
|---|---|---|
| Instant reply | When someone messages for the first time | Nobody is left on read, and you get the first question |
| Away message | During off-hours on your schedule | There is a reply in the evening and on holidays too |
| Frequently asked questions (FAQ) | When the customer taps a preset question | Price, address, delivery — in one tap |
| Contact info, location, hours | When people ask about them | You stop typing the same answer dozens of times |
| Keyword response | When a message contains a word you chose | For "price", "address", "sale" and so on |
Two details from the help page matter: the preset FAQ takes up to five questions, and custom keyword responses are currently only available in the desktop version of Business Suite. If a preset and a keyword response both match one message, only the preset is sent. The Instagram app itself also offers frequently asked questions for professional accounts (Instagram Help Center).
Meta changes menu names and features often, and some roll out to accounts at different times. Check the steps below against your own dashboard.
How to set up an automated response: 5 steps
Step 1. Connect the Page and Instagram. The Facebook Page and the Instagram professional account need to sit in the same business portfolio. Otherwise Instagram messages won't reach the Inbox and the automation will only work on Facebook.
Step 2. Open the Inbox. Business Suite → Inbox → Automations. You'll see the list of preset automations and a button to create your own.
Step 3. Get your business hours right. For the away message, check the time zone — Tashkent is UTC+5. Account for days off and lunch breaks: if you work half a day on Saturday, the schedule should say so.
Step 4. Write the text and pick the channels. Each automation lets you choose where it runs: Facebook, Instagram or both. Start from the templates in the next section.
Step 5. Test it on yourself. Message your Page and your Instagram from another account: did the reply arrive, how fast, how does it look on a phone? Test the away message separately in the evening.
What to write: 3 rules
A bad automated reply is "Thanks for your message, we'll get back to you soon." The customer reads it and messages another shop. A good one does three things:
- Confirms the message arrived and gives a real time frame. "Within 15 minutes" or "tomorrow after 9:00", not "soon".
- Asks one specific question. The manager gets what they need to start the conversation: which product, which district, which date.
- Shows what the customer can do without waiting. A phone number, a Telegram bot or a price list — for people in a hurry.
Keep it short: 2–4 sentences on a phone screen. Nobody reads a long automated reply.
About language. In Tashkent, customers write in both Uzbek and Russian. Make the reply short and bilingual: Uzbek first, then Russian. The manager then continues in whatever language the customer uses.

Furniture store
Instant reply:
Hello! A manager will reply within 15 minutes. To get you a quote faster, tell us which piece of furniture you need and the dimensions.
Away message:
We're closed right now (open daily 9:00–20:00). You'll be the first person we answer in the morning. Our catalog and prices are in the "Catalog" highlight on our profile.
Clinic
Instant reply:
Hello! To book an appointment, send your name, which doctor you need and a day that suits you. Our front desk will confirm within 10 minutes.
FAQ questions: "How much is a consultation?", "Address and landmark", "Opening hours", "How do I get my test results?"
Training center
Instant reply:
Hello! Which course are you interested in, and who will be studying — you or your child? Once you reply, our administrator will send the schedule and price.
Keyword response to "price":
The price depends on the course and group. Tell us which course you need and we'll send the exact price and a time for a free trial lesson.
Add the questions you get every day to the FAQ: delivery, installments, address. To find out which questions come up most, scroll through your last 50 conversations — they'll hand you the list.
Automation and the manager: who does what
An automated reply doesn't replace a manager; it only holds the first few minutes. Once the customer answers the automated message, a real person has to take over — and this is exactly where leads get lost, because everyone assumes "the bot has it".
A simple routine:
- Automated reply sent → the conversation stays in the Inbox as unanswered.
- During working hours, the manager checks the Inbox at least every 15–30 minutes.
- If the customer shows clear interest, the manager adds them to the CRM. On choosing one, see Which CRM fits a small business.
We explain why reply speed matters so much in Lead response time: how it affects sales. In short: the automated reply says "we're here", but a person makes the sale.
If you get a lot of messages, or need to qualify customers with several questions, Meta's basic automations won't be enough. That's when you need a Telegram bot or a chatbot service — we cover when that makes sense in Collecting leads with a Telegram bot.
5 common mistakes
- The reply ends with "thanks, please wait". No question, no time frame, no other channel. The customer won't wait.
- Wrong schedule. The wrong time zone, or Saturday left as a day off. The customer gets "we're closed" during business hours.
- Broken promises. Writing "we'll reply in 10 minutes" and answering an hour later is worse than no automated reply at all — you broke a promise.
- Hiding the price everywhere. Replying to the keyword "price" with "we'll tell you in DMs" when the customer is already in DMs. Give at least a range, or say what details you need to quote.
- Forgetting holidays. On December 31 or Eid the normal schedule is still on, and the reply promises "a manager will answer in 15 minutes". A separate holiday message and on-call rota are covered in Sales team during the holidays.

Checklist after setup
- Instagram and Facebook are in one business portfolio and messages reach the Inbox
- The instant reply has a real time frame and one specific question
- The away message runs on Tashkent time (UTC+5) with the correct schedule
- The FAQ holds your 3–5 most common questions
- The text is bilingual and no longer than 2–4 sentences
- Tested from another account, during the day and in the evening
- Agreed who checks unanswered conversations, and when
- A separate holiday message is ready
Questions and answers
Do automated responses work on Instagram too?
Yes, as long as the Instagram professional account is connected to Business Suite. You choose the platform in each automation. Some features reach Facebook first and Instagram later — check your dashboard.
Do automated responses go out to messages from ads?
Ads with a messaging objective usually have their own greeting and preset questions configured inside the ad. That's a separate setting from Business Suite automations, so compare the texts to make sure they don't contradict each other. Lead form or messages — which to choose: Lead form or messages.
Do you have to pay for automated responses?
No, Meta Business Suite and its automated responses are free. You only pay if you add a third-party chatbot service.
Can I auto-reply to comments?
Business Suite automations are mainly for messages. Comments are better answered by a real person — everyone else can see the reply. Standards for handling comments and DMs: Handling comments and DMs.
Do automated responses increase sales?
Not on their own. They hold the customer for the first few minutes and collect details for the manager. The sale depends on a fast, precise answer after the automation.
Conclusion
Automated responses are the cheapest and fastest tool to set up: an hour of work and no cost. But they only work when they're written well: a real time frame, one question, and something the customer can do without waiting. Set them up, test them on yourself, and agree who keeps an eye on unanswered conversations.
Before launching ads for a client, Level Marketing also checks the message flow: the automated reply, the manager's answer and the lead landing in the CRM — because when a message from an ad goes unanswered, the budget is wasted.
